Certificate of Insurance

All Board approved vendors or any third party coming onto OCPS property or providing a product or service must provide a current ACORD form Certificate of Liability Insurance (COI) naming the School Board of Orange County as Certificate Holder and Additional Insured. The policy must be endorsed using the language equivalent to both CG2026 4/13 and CG2037 4/13. 

 

Commercial General Liability Coverage must be indicated on an occurrence basis (claims made policies not accepted). The required Limits of Liability are:

  • Minimum limit of $1,000,000 Each Occurrence
  • Minimum limit of $2,000,000 General Aggregate

 

>>Policies must not exclude or sublimit coverages for abuse or molestation.

>>Workers Compensation and Employers' Liability will be required upon request.

Send the current and sufficient COI to: RiskManagement@ocps.net

 

In the Description section of the COI, please include the reason for providing proof of insurance. For example:

  • Facility Use of West Orange Auditorium 06/05-07/2015
  • Fall Festival on 09/06/2021 at Odyssey MS
  • RFP100245 for Lawn Cutting Services
    • PT(A,O,SA,SO) and Boosters
      • The organization works closely with their sponsored school or club and must maintain their own insurance for events and activities they hold/sponsor at that school.

    • Vendor or Concessionaire
      • Third party providing a product or service to OCPS or PTA/Booster on OCPS property. OCPS Procurement will collect proof of insurance on all Vendors awarded work through the bidding/procurement process.
        Schools shall provide Vendor's proof of insurance to Risk Management for any work or service provided using internal school funds. 

    NOTE: Vendors are NOT approved just because they show up in the payables system.

    • Third-Party Visitor
      • On occasion, a third party may be participating in an activity or event, which also requires proof of insurance.
    • Third-Party Facilities Use
      • You should be able to upload COI to your reservation on Facilitron. If unable to upload, you can email the COI to teault@facilitron.com.

Requesting Insurance from OCPS

The School Board of Orange County, also known as OCPS, is a municipal entity and as such is only required to provide insurance documents showing their statutory tort liability limits. OCPS is covered under Florida’s Sovereign Immunity Statute 768.28.

Where required by written contract, Risk Management shall provide a Statement of Self Insurance pursuant to Florida Statues 768.28.

To complete the request in a timely manner, please email RiskManagement@ocps.net the following:

  • Full Name and Address of the organization requesting OCPS Statement of Insurance
  • Email address where to send it to
  • Reason for Requiring Proof of Insurance, including specific dates; if applicable
  • Supporting documentation; such as the agreement or contract
  • OCPS contact for the request and their email address.

All requests must be submitted to Risk Management.
